What's Included with Your Booth Space Purchase

  • Exhibit Space is priced at USD 39 per square foot for booth space (minimum reservation 100 sq. ft.).
  • Standard booth draping (8-ft. high black back drape and 3-ft. high black side dividers) and identification sign (17x11 inch) listing Exhibitor name and booth number will be provided to all linear booths. Any additional draping used must comply with the show color scheme and the published fire safety regulations.
  • Three (3) Complimentary Full Conference Registrations per 100 sq. ft. of Exhibit Space.
  • Five (5) Complimentary one-day “Exhibits Only” Guest Invites per 100 sq. ft. of Exhibit Space to share with your clients.
    Guest invitations are not to be used for your employees/staff/EAC’s or for any other company’s employees/staff/EAC’s exhibiting at this show. This policy will be heavily enforced. Violating the guest invitation terms can result in a reimbursement penalty and loss of priority points. Multiple violations can result in an inability to exhibit at future SPE shows.
  • Exhibitor listing in official Digital Event Dashboard.
  • Access to Proceedings to be emailed to primary contact prior to event.

Highlighted Rules and Regulations:

  • Age Restrictions
    •No one under 18 years old is permitted on the show floor during move-in.
    •No one under 15 years old is permitted on the show floor during show days.
     
  • Attire and Safety
    •No open-toed shoes are allowed during move-in or move-out.
     
  • Access Requirements
    •On set-up days, anyone entering the show floor must wear an official show badge or wristband.
    •On show days, anyone entering the show floor must wear an official show badge.
    •Exhibitors may access the show floor early on show days — see the official Exhibition Schedule for specific hours.

POVs (Privately Owned Vehicles)

  • A driver or representative must remain with the vehicle at all times while at the loading dock.

HEAVY EQUIPMENT
If bringing oversized/large equipment, please notify show management  by 28 January so  we can put you in touch with Freeman to make special arrangements. 


LATE MOVE-IN
If you plan to begin your booth set up after 12:00 noon on Monday, 16 March, please notify Show Management by 10 February. It is imperative that late set-ups order carpet, electricity, and furniture prior to 10  February.

  • All booths must be fully set by 1800 hours on Monday,  16 March.
  • Set up on the morning of Tuesday, 17 March is NOT permitted for this event.

If the exhibitor does not notify show management of late arrival, said exhibitor will be presumed a no-show, and the exhibit space will be re-sold or made into a lounge area.

Exhibitors will receive three (3) complimentary full conference registrations per 100 sq. ft. of exhibit space.

Guest Registration

Invite existing or potential clients to visit you at the 2026 IADC/SPE International Drilling Conference and Exhibition.

Exhibiting companies will receive five (5) complimentary Guest Invitations per 100 sq. ft. of exhibit space purchased. Invitations are for one day only and will allow your guest to access the exhibit floor.  Guest invitations are not to be used for your employees/staff/EACs or for any other company’s employees/staff/EAC exhibiting at this show. This policy will be heavily enforced.  Violating the guest invitation terms can result in a reimbursement penalty and loss of priority points. Multiple violations can result in an inability to exhibit at future SPE shows.

Highlighted Rules and Regulations

  • No open-toed shoes of any kind will be permitted on the exhibition floor during move-in or move-out. Violators of this safety rule will be asked to leave the exhibit floor.
  • Children under the age of 18 are not permitted on the show floor during move-in or move-out.
  • Children under the age of 15 are not permitted on the show floor during official show hours.
  • Animals are not permitted unless they are registered service animals.
  • Flying drones are not permitted.       

Photography/AV Recording Regulations
SPE is organized and operated exclusively to promote and further advance scientific and technical knowledge of offshore resources and environmental matters. To maintain the unparalleled technological experience, SPE must enforce a photography and videography policy that will protect the leading-edge technology showcased at the event. Please see the official Rules and Regulations to review the full policy.

PLEASE NOTE: Failure to abide by these regulations can result in the loss of Priority Points.

Exhibitor Insurance Requirements

Exhibitor shall, at its own expense, secure and maintain insurance for the entire duration of the Event (move-in through move-out.)

All such insurance shall be primary of any other valid and collectible insurance of Exhibitor and shall be written on an occurrence basis. Claims made policies are not acceptable and do not constitute compliance with Exhibitor’s obligations under this paragraph.

  • Comprehensive General Liability insurance with limits not less than $1,000,000 each occurrence, $2,000,000 aggregate, combined single limit for bodily injury and property damage, including coverage for personal injury, contractual, and operation of mobile equipment, products, and liquor liability (if applicable).
  • Automobile Liability insurance (required if bringing automobiles into the show venue) with limits not less than $1,000,000 each occurrence combined single limit for bodily injury and property damage, including coverage for owned, non-owned and hired vehicles, including loading and unloading operators.

The Exhibitors comprehensive General Liability and Auto Liability insurance policies shall name as additional insureds (i) Society of Petroleum Engineers, and each of its direct and indirect subsidiaries and other affiliates and (ii) the Event Facility "Galveston Island Convention Center" (with no limitations).

Exhibitor’s Workers Compensation and Occupational Disease insurance will be in full compliance with all federal and state laws, covering all Exhibitor’s employees engaged in the performance of any work for the Exhibitor. All property of the Exhibitor is understood to remain under its custody and control in transit to, during the Event, and from the confines of the hall. If requested, copies of additional insured endorsements, primary coverage endorsements and complete copies of policies satisfactory to SPE, shall be promptly furnished to SPE. Certified copies of the Certificates of Insurance or policies shall provide that they may not be cancelled without 30 days’ advance written notice to SPE. The Exhibitor shall obtain a waiver of subrogation from the carrier of each policy described above and the carrier of each other policy that provides fire, explosion or any other risk coverage insuring the Exhibitor’s property, in each case releasing in full such carrier’s subrogation rights.

While Exhibitors are required to have insurance coverage, proof of said coverage is not required unless requested by SPE.

Exhibitor Appointed Contractors (EACs) - Requirements

Official & Exclusive Contractors
For insurance and safety reasons, Exclusive Contractors listed in the Official Exhibitor Services Manual must be used for the following services:

  • Catering
  • Electrical
  • Material Handling/Forklift Operations
  • Internet/Telecommunications
  • Rigging
  • Plumbing

Freeman is the Official Show Decorator and is exempt from the above requirements.

Exhibitors

Exhibitors are required to communicate all rules and regulations to your appointed contractor(s). We recommend you review the information below and follow up with your contractor to ensure all steps have been taken by the posted deadlines and that fees have been paid.  Without paperwork, insurance and EAC fees paid, they will not be permitted onto the show floor. 

Contractors

For the 2026 IADC/SPE International Drilling Conference and Exhibition, EACs are not required to pay the EAC administrative fee. However, submission of required paperwork is mandatory. Please review the information below carefully and follow up with us to confirm receipt of all documents to ensure access to the show floor.

If you’ve been hired to build or design booth space at this event, you must:

  • Complete and submit the EAC Agreement by 28th January 2026
  • Upload a Certificate of Insurance (COI) using the designated link on the EAC Agreement.
    (See Sample for Required Coverage) please do not email COIs to SPE or Freeman.

If you need to add additional companies later, please revisit this section and submit a new request via the online form. Please do not email additional requests directly to our inbox.

Show Floor Access

  • During show days:
    EACs must be registered and badged. Please contact the exhibiting company to register your staff using their complimentary badges.
     
  • During set-up and tear-down:
    Badges are not required. Staff must check in at the freight door each morning to receive a colored wristband and present a government-issued photo ID.

⚠️ Failure to follow these procedures may result in delayed or denied access to the show floor.

Booth Equipment NOT Included with Booth Space Purchase

The venue is not carpeted; therefore, you ARE required to have carpet/floor covering in your booth space. You may choose to bring your own or order it from Freeman.  It is strongly recommended that you place your order prior to arriving in order to avoid delays. 

Carpet, electricity, furniture, and trashcans are NOT included with your booth space purchase and should be ordered separately.

  • The exhibit hall aisles WILL be carpeted.
  • Carpet/floor covering must encompass the entire footprint of the exhibit space.
  • 10x10 booths will be set with an 8' high black back drape, 3’ high black side dividers, and a 11" x 17" one-line identification sign.
